What is a Month of Coordinator?

A Month of Coordinator, also known as a wedding coordinator or wedding planner, is a professional who assists couples in the final weeks leading up to their wedding day. They ensure that all the details are in place and coordinate with vendors to execute the couple’s vision. 

At Planned By Pippa our Month of Coordination services typically start 6-8 weeks before your wedding day. This time frame allows our team to become familiar with your plans, review contracts, and get up to speed with all the details. It gives us enough time to coordinate with vendors, create a timeline, and ensure that everything is in place for a smooth execution of your wedding day.

What services do you provide for Month of Coordination?

In the weeks leading up to your wedding we provide various services, including vendor coordination, timeline creation, finalizing details, reviewing contracts, rehearsal coordination, and overseeing the wedding day itself.

When should I hire you for Month of Coordination?

We highly recommend booking with us at least 6-8 months in advance of your wedding date to guarantee our availability. We operate on a first come, first served basis and do not hold wedding dates without a deposit.

How does Month of Coordination differ from Full Planning?

While a wedding planner is involved in the entire wedding planning process from start to finish, a Month of Coordinator focuses on the final weeks leading up to the wedding. We step in to help finalize details, coordinate with vendors, and ensure that everything goes according to plan on the wedding day.

Do I really need your services if I already have a venue coordinator?

While a venue coordinator is responsible for managing the venue-specific aspects of your wedding, a Month of Coordinator focuses on the overall coordination of your event. We work closely with all vendors, manage the timeline, and handle any unexpected situations, allowing you to fully enjoy your day without worrying about the logistics.

Can I hire you if you haven’t previously worked at my chosen venue or with my selected vendors?

Yes, absolutely! We love working with new venues and vendors and it should never be a cause for concern! Prior to your wedding day we will be in regular contact with your vendors and venue to ensure everyone is on the same page. If possible, we will also conduct a site visit and/or attend your final meeting with the venue.

Can you provide assistance with vendor selection?

Yes and no. As a Month of Coordinator, our primary focus is to coordinate with the vendors you have already selected for your wedding. We will ensure that they are well-informed about the details and requirements for your special day. However, if you require assistance with vendor selection, contract negotiation, or contract review before our Month of Coordination services officially begin, there is a fee of $50.00 per hour. 

If one of your vendors unexpectedly drops out or cancels their services after your Month of Coordination services have begun, we would be happy to help you secure an alternative vendor at no extra cost.

Is decor setup included in Month of Coordination services?

Our team is happy to provide assistance with setting up limited personal decor and accessories. This typically includes items such as centerpieces, place cards, guest books, signage, and other smaller decor elements that you have prepared for your wedding day.

Please note that this service does not cover more complex tasks like swagging, hanging items from ceilings, lighting setup, or handling major decor items like arches. Any decor must be delivered to the ceremony site or venue. Planned By Pippa cannot carry items between venues due to insurance limitations.

How involved is your team on my wedding day?

On the wedding day, our team will be highly involved in ensuring that everything runs smoothly. We will oversee vendor setup, manage the timeline, handle any last-minute changes, coordinate the ceremony and reception, and be available to address any issues that may arise. Planned By Pippa always includes one Lead Coordinator and one Assistant Coordinator on your wedding day.

Will you attend and direct our wedding rehearsal?

Yes, one of our team members will attend your wedding rehearsal to guide the wedding party through the ceremony processional and recessional, provide instructions, and ensure that everyone knows their roles and responsibilities.

How much do your Month of Coordination services cost?

The cost of our services can vary depending on various factors such as location, wedding size, and the specific services included. While our services start from $1,800.00 and up it’s best to contact us directly to discuss your requirements and receive a personalized quote.
